Order Processing Instructions

Create Order Packet

  1. Print 4 copies of the Export Pick Ticket.
  2. Create a transaction to move wine to 6766E/1111E, then print the BOL.
  3. Staple the transaction BOL on top of the 1st Pick Ticket.
  4. Attach a Master Check List Avery Sticker to the 2nd Pick Ticket.
  5. Ensure the driver signs the 3rd Pick Ticket at pickup.
  6. The 4th Pick Ticket is for the driver to take.
  7. Place the signed Pick Ticket and driver copy inside the green folder.
  8. Put the Master Check List on top of the BOL, then attach it to the front of the green folder.
  9. Organize packets in the tray:
    • Left: Upcoming order packets
    • Middle: In-progress order packets
    • Right: Orders on the dock

Building an Order

  1. Read comments on the Pick Ticket.
  2. For US Label orders:
    1. Change order status to "In Progress" on Salesforce.
    2. Pull all wines from 6766B.
      • If not in 6766B, check 1111A.
      • If not in 1111A, check 2222R.
    3. Stage wines on separate pallets.
    4. Initial the Master Check List for each wine as you pull the exact quantities.
    5. Apply a blue pallet tag to indicate the order is still being built.
    6. Get a manager to double-check quantities before stacking cases.
    7. For corrugated/wood boxes:
      • Check if prebuilt boxes are available.
      • If not, pull the exact number of Montebello wine, build boxes, and print labels for manager review.
    8. Stack cases on even-height pallets.
      • For multiple pallets, ensure the last pallet is uneven for stacking efficiency.
    9. Print Orange Pallet Tags.
    10. Bring transaction paper to manager for review.
    11. Change order status to "On Dock" on Salesforce.
    12. Measure pallets and add dimensions to Salesforce.

Labeling an Order

  1. Change order status to "In Progress" on Salesforce.
  2. Read comments to determine label requirements and special instructions.
  3. Check Notes/Files on Salesforce for label details. Print a label example if necessary.
  4. Pull exact quantities of shiners from 6766U for each wine.
  5. Print casebox labels and verify Notes/Files for multiple label types.
  6. Set up the label machine and double-check settings (only adjust settings with a manager).
  7. Take pictures of labeled bottles:
    • First bottle (front label, back label, etching)
    • Last bottle (same views)
  8. Upload pictures to the network order folder.
  9. Initial the Master Check List for each wine labeled.
  10. Apply a blue pallet tag during labeling.
  11. After labeling, have a manager double-check and sign off.
  12. Stack cases on even-height pallets and print Orange Pallet Tags.
  13. Bring transaction paper to manager and update order status to "On Dock".
  14. Measure pallets and add dimensions to Salesforce.

Shipping an Order

  1. Take pictures of all 4 sides of each pallet before loading the truck.
  2. Upload pictures to the network order folder.
  3. Get the driver to sign one Pick Ticket.
  4. Give the driver a second Pick Ticket.
  5. Scan the signed Pick Ticket and send it to export logistics.
  6. Save Master Check Lists and signed Pick Tickets for future reference.

Emailing

  • Do NOT email importers directly.
  • Only communicate with truckers and forwarders.
  • Use the email generator to ensure details are correct.
  • Double-check pickup requests for accuracy and include the Importer name in the subject line if needed.
